As Hello Tomorrow blooms, we are looking for an Office & People Assistant who will help us take care of our team while keeping our house in order!

Under the supervision of our People Operations & Culture Coordinator, you will be part of the People team. We are looking for someone organized and proactive, detail-oriented and people focused, with a strong sense of service and the ability to multitask in a dynamic environment.

YOUR FUTURE RESPONSIBILITIES

As the Office & People Assistant, your role will be to provide support with People Operations & Culture as well as ensuring the wellbeing and safety of our workplace.

More precisely, reporting to our People Operations & Culture Coordinator you will:

  1. People Operations
  • Support onboarding and offboarding procedures.
  • Manage and prepare internship agreements and support the preparation of work contracts. 
  • Manage the company’s benefits: ticket restaurant (Edenred), health insurance (Alan), health care visits (médecine du travail), transportation reimbursement.
  • Follow up on leaves, office shifts and ensure everyone knows where to find office policies and rules.
  • Assist in keeping accurate employee records.
  • Assist in the classification and organization of HR files.
  • Provide continued support to employees by answering team questions & solving ad-hoc problems.
  1. Team life
  • Manage Hello Tomorrow’s Paris office by keeping the office organized and safe and creating a work environment that is welcoming for the team.
  • Manage relationships with our office provider (logistics of team meetings, office safety, etc).
  • Sort and archive the office mail.
  • Manage the budget associated with office supplies and team happiness with the support of the Director of Finance and the People Coordinator.
  • Manage our IT material and provide first level IT support.
  • Provide end-to-end support to the team members on administrative procedures of business trips.
  • Responsible for team meeting’s schedule and logistics.
  1. Events Organization
  • Coordinate team events such as the End of the Year Party, monthly afterworks, etc.
  • Coordinate the annual team retreat/day.
  • Assist in the preparation of team buildings and workshops.

YOUR PREVIOUS EXPERIENCES

  • You are in your final year of studies or a master’s student in human resources, business administration, office management or a related field.
  • Experience in event organisation is a plus.
  • Experience in a growing startup or small company is a plus.

YOUR SKILLS & TALENTS

  • You are native or fully fluent in both English and French
  • You are VERY well organized and rigorous
  • You are a multitasker, adaptable and proactive
  • You are methodical and detail-oriented
  • You have strong communication and interpersonal skills 
  • You have a knack for productivity and process 
  • You are proficient in G Suite (Mail, Drive, Docs, Sheets, etc.) and Microsoft Office
  • You are energized by helping other team members
  • You are a team player, curious, empathetic, humble and eager to do your best to create a positive impact!

THIS JOB IS NOT FOR YOU IF

  • You cannot work in Paris (2 days per week on-site).
  • You are not eligible for an alternance.
  • You do not have a valid visa for the whole period of the alternance.
