The Department of Clinical Medicine at Faculty of Health at Aarhus University invites applications for a position as a Research Administrative Coordinator within research administration at Steno Diabetes Center Aarhus as per October 1st 2026 or as soon as possible thereafter. The position is a permanent full-time position.

Steno Diabetes Center Aarhus is anchored in Central Denmark Region and Aarhus University, Health, and conducts research in close collaboration with national and international partners. The research portfolio spans clinical, biomedical, epidemiological, behavioural, digital and health services research and is supported by substantial external funding from public and private foundations as well as industry collaborations. The centre works across Aarhus University, Aarhus University Hospital, regional hospitals, general practice and municipalities, and the increasing complexity of the research portfolio calls for strong and coordinated administrative support. Your job responsibilities

As Research Administrative Coordinator, your primary tasks are to coordinate research administrative processes and to support financial and strategic planning. You contribute to professional and consistent research administration through structured workflows and clear coordination across administrative functions. In your daily work, you have a close interaction with competent colleagues. The position has a coordinating function in relation to other administrative staff and will help create overview of roles, responsibilities, deadlines and resource needs across the research portfolio.

Your main tasks will consist of:

  • Coordinate research administrative tasks across administrative staff at Steno Diabetes Center Aarhus, including overview of roles, responsibilities, deadlines and interfaces.
  • Provide financial and strategic advice to the Head of Research at Steno Diabetes Center Aarhus.
  • Support budget preparation, resource clarification and administrative planning for new and ongoing research projects.
  • Develop, document and quality-assure administrative workflows for the research area, including processes that involve several administrative units.
  • Coordinate with employees affiliated with the Department of Clinical Medicine at Steno Diabetes Center Aarhus who carry out administrative research support tasks.
  • Coordinate collaboration with administrative functions at Aarhus University Hospital, Aarhus University and Central Denmark Region.
  • Prepare the administrative basis for participation in research core functions and joint initiatives with Aarhus University, Health.
  • Support grant, contract and project-related processes in collaboration with relevant administrative partners.
  • Coordinate shared HR-related processes concerning research staff and shared AUH/Central Denmark Region arrangements where relevant to the research area.
  • Provide ongoing administrative support to the research leadership and relevant Department of Clinical Medicine activities at Steno Diabetes Center Aarhus.

You will report to the Niels Jessen, Head of Research at Steno Diabetes Center Aarhus.

Your competences

You have a background within a relevant academic field and experience with research administration, project coordination, financial planning or research support in a university and/or hospital setting. You have solid organisational understanding, documented ability to work systematically and independently, and experience coordinating tasks across administrative functions without formal management responsibility. Knowledge of university and hospital administration, external research funding, budget follow-up and collaboration agreements will be an advantage.

As a person, you have good interpersonal skills, are inclusive and team-oriented and able to contribute to a good work environment.

We expect you to be fluent in oral and written English.

Terms of employment

Salary and employment terms are governed by the collective agreement for academics in the public sector. You will be appointed as a Special Consultant, with remuneration set in accordance with Appendix 4 of the collective agreement.
