As part of our HR team consisting of 5 people, you will contribute to the smooth running of daily HR staff & consultants' administration activities across several European countries. You will provide operational support for employee lifecycle processes, benefits administration, absence management, and compliance-related HR activities.
This temporary role (fixed-term contract of 12 months) has been created to strengthen the HR team's operational capacity and support team members for key HR transformation initiatives planned through 2026 and 2027. Reporting to the HR Director and working closely with employees, managers, payroll providers, and external partners, you will ensure accurate, timely, and compliant HR administration while delivering a high-quality employee experience. Daily coordination will be managed by the Payroll and Staff Administration team members.
Key Responsibilities
1. Employee Administration & HR Operations- Prepare and process employment contract amendments and related documentation.
- Manage employee files and ensure HR records remain accurate and compliant.
- Issue employment certificates and various employee attestations upon request.
- Coordinate onboarding and offboarding administration, including maintaining and updating associated checklists.
- Support corporate onboarding activities for new joiners.
- Manage employee data updates within HR systems and administrative platforms.
- Maintain and update HR templates and administrative documentation.
- Monitor and update absence records in HR systems.
- Support off-cycle termination processes by preparing absence and allowance data extracts.
- Manage employee enrolment, modifications, and follow-up for benefits programs
- Support transportation benefits administration, including annual campaigns and employee attestations.
- Support annual country-specific compliance activities, such as home office declarations.
- Support annual headcount reviews and reporting activities.
4. Employee Campaigns & Internal Coordination
- Launch and monitor annual employee campaigns, such as RTT allocation and follow-up.
- Coordinate employee communications and reminders regarding Holiday balances.
- Organize and support works council (SE/CSE) meeting invitations and agenda administration.
- Coordinate the SOLTéA apprenticeship tax allocation process and monitor deadlines.
- Contribute to the continuous improvement of HR processes, templates, and employee administration practices.
- Participate in HR projects linked to process optimization and HR transformation initiatives.
Key Responsibilities
Hard Skills- Good knowledge of HR administrative, People Operations, and payroll processes throughout the employee lifecycle.
- Ability to manage multiple administrative tasks while meeting deadlines.
- Experience working with HR Information Systems (HRIS) and digital HR tools.
- Strong attention to detail and commitment to data accuracy.
- Good command of Microsoft Office applications, particularly Excel.
- Excellent organizational and coordination skills.
- Strong service orientation and responsiveness.
- Ability to communicate clearly with employees and stakeholders.

- Fluent English (written and spoken).
- French is a strong advantage.
- Degree in Human Resources, Business Administration, or a related field.
- First experience in HR administration, payroll administration, employee services, or HR operations.
